Know Your Numbers

Find your deductible expenses

Sound familiar?
“My business and personal spending are all mixed together, and I only figure out what's deductible in a panic at tax time.”
By Toby Egbuna

What you'll need

  • Your business profile. Don't have one? Start here →
  • Your business bank and card transactions (connect QuickBooks, Xero or FreshBooks if your AI can, or upload statements or a CSV from any bank)
  • Any personal card you sometimes use for business
  • The inbox or folder your receipts land in
  • The checklist your tax pro sends at year-end, if they do

What you'll get

  • A monthly list of likely business expenses, sorted into the categories your tax form or tax pro uses
  • A missing-receipts list, plus the partly personal items (phone, car, home) that need your tax pro's say
  • Plain questions for your tax pro, drafted for you to send
  • A year-to-date packet ready to hand over in January

How it works

This isn't tax advice: it organizes your records so your tax pro can decide. Run it in the first week of each month. It goes through last month's spending in every account, including business costs you paid personally, flags what looks like a business expense, sorts it the way your tax form does, and finds the receipts while you still remember what you bought. It never decides what's deductible or calculates any deduction or tax, marks anything partly personal "confirm with your tax pro," and changes nothing in your books without your yes.
